User access reviews for Okta

Access reviews your auditor will sign off on.

AkraID reads who has access to what from Okta, points out the access that looks wrong, and removes what you revoke. Every decision lands in an evidence pack your auditor can check for themselves.

Start with a free 30-day pilot on your own Okta.

An AkraID review: a list of people and the apps they can use, with flags such as Deactivated in Okta, Unused 75 days and Separation of duties.

A review for a fictional 54-person company. Leavers and risky grants are sorted to the top.

Who it's for

Built for the person who runs the review.

If you're the IAM or GRC analyst at a 100 to 2,000 person company on Okta, the quarterly access review is probably a spreadsheet, a pile of emails to managers and a week of chasing. AkraID turns it into an afternoon.

Less to look at

Most access is fine. AkraID shows you the grants that need a decision first, and lets you keep the clean ones in bulk.

Removals that actually happen

Revoke in AkraID and it removes the access in Okta, then checks Okta again to prove it's gone. No ticket that sits for a month.

Evidence without the scramble

The evidence pack builds itself while you work: who reviewed what, why, what was removed and when, in a file you can hand straight to your auditor.

How it works

Four steps, the same every quarter.

Nothing to install. AkraID works from what Okta already knows.

Connect Okta

AkraID makes its own key pair and you add the public half to Okta. No API tokens or passwords change hands. Read-only unless you switch on automatic removals.

Review

Every person, app and role in one list, with the risky ones flagged and explained. Managers you ask can reply from a link, without an account.

Remove

Revoked access comes off in Okta automatically. For apps Okta doesn't manage, AkraID tracks the task and confirms it on the next sync.

Prove it

Sign off and download the evidence pack as a spreadsheet or document. The audit trail is tamper-evident, so your auditor can verify nothing was changed afterwards.

What it catches

The access auditors ask about, flagged before they do.

Rules are on by default and you can tune every limit. Each flag says why it fired, so a decision takes seconds instead of a search through Okta.

  • Deactivated in OktaPeople who left but still have app access.
  • Unused 60 daysAccess nobody has signed in with lately, from Okta's sign-in log.
  • Held past the limitAdmin access held over 90 days, editor over a year, viewer over two.
  • Separation of dutiesCombinations you've said one person shouldn't hold, like creating and approving payments.
  • Rare on their teamAccess fewer than 1 in 5 of a person's peers have.
  • Outside usual teamAn app that's normally used by a different department.
  • No ownerService accounts with nobody responsible for them.
  • New since last reviewAnything granted since you last signed off.

Security

An access tool should be the hardest thing in your stack to misuse.

AkraID can see who has access to everything, so it's built to hold as little as possible and to prove what it did.

How AkraID is secured

  • No shared secrets. Okta trusts AkraID's public key. There's no API token for anyone to leak.
  • Sign-in through your Okta. AkraID never sees a password, and your MFA policies apply.
  • Encrypted keys. Stored keys are encrypted with AES-256 and locked to the record they belong to.
  • A log nobody can quietly edit. Every action is chained to the one before it, and the database refuses edits and deletes.
  • Least privilege. Read-only by default. Removal rights only if you turn them on.

Audit-ready

Evidence your auditor can check, not just read.

The evidence pack covers what auditors ask for after a user access review: the population and where it came from, the rules you used, every decision with its reason, exceptions with end dates, proof that each removal happened, and a check that the audit trail is intact.

Common control mappings. Confirm the fit with your auditor.

  • Reviewers can't approve their own access. It goes to a backup reviewer automatically.
  • Exceptions need a reason and an end date, so "keep for now" doesn't become forever.
  • Every removal shows its proof: read back from Okta, confirmed by a later sync, or attested by the reviewer.
  • Auditors get their own read-only role, so they can look for themselves.
